About the Role

Purpose of the role
To play a key role in supporting the External Relations Director. Providing efficient day-to-day administrative support to the External Relations Director and their senior management team.

External Relations comprises Marketing, Design, Media Relations, Corporate Communications (including Internal Communications), Lobbying and Insight.
 
Duties and responsibilities
  • Proactive email inbox management – manage communications, monitor emails, post and calls, taking appropriate action, escalating or delegating accordingly
  • Provide comprehensive diary management, making decisions to resolve conflicts and exercise judgment on priorities
  • Ensure enquiries/issues are appropriately delegated and resolved effectively
  • Arrange meetings, facilitate logistical arrangements (venue, travel and accommodation) and proactively ensure all documentation is prepared/available in advance of meetings
  • Attend meetings to take minutes/actions, ensuring any action points are followed up in a timely manner, updating action logs
  • Project manage events, facilitating logistical arrangements and attending events as required
  • Undertake background research and sourcing information from internal and external stakeholders, including precis of reports
  • Create PowerPoint presentations for use with internal and external audiences
  • Proof-read communications and documentation
  • Update ER Business Continuity Plans on a quarterly basis
  • Assist with preparation of budgets
  • Collate and process expenses and invoices
  • Maintaining database of contact with various external audiences
  • General administration (filing, ordering supplies, maintaining holiday records etc)
  • Ensure that all activity is aligned with Paragon’s brand values and behaviours, ie legal and complaint, decent and truthful, and incorporates the principles of Treating Customers Fairly and improving customer outcomes

About You

Skills
  • Excellent organisational skills
  • Highly IT literate with advanced Word, PowerPoint, Excel and SharePoint skills
  • Ability to prioritise multiple tasks and work to tight deadlines
  • Ability to switch gears calmly and rapidly as priorities shift without sacrificing work quality
  • First-class verbal and written communication skills
  • Flexible approach to working hours, with a can-do attitude and a strong work ethic
  • Professional approach, taking pride and care in work produced with great attention to detail
  • Ability to work using own initiative and be capable of organising, prioritising and completing workloads within set timeframe
  • Relates well to people at all levels
Working hours
37.5 hours per week, Monday to Friday, 8.30am to 5.00pm (one hour for lunch).

Relevant training will be provided.
